Event Planning Tips

Whether this is your first time as a tournament coordinator or you are a veteran, please take a moment to review this list of important procedures, time lines, and suggestions.

 

Secure your Date: 

Contact our Tournament Coordinator to confirm availability of the date you wish to host your event. A contract will be sent along with a request for a credit card number which will secure your date and time. Look at the various options you wish to have in place for your event. Please send your contract as quickly as possible.

 

Booking Tee Times:

Upon selecting and securing a date, make sure to book enough tee times for your guests. It it always easier to cancel times rather than try to add on at a later date.

 

Booking Accommodations: 

If your guests are to be staying in the area, be sure that you have secured accommodations for your group for the desired date(s).

 

Your Guests:

Please send your invitations out as soon as possible to your clients and or guests that will be playing in your event. To avoid cancellations and no shows, we suggest that you require full payment up front from your guests. Make sure to put a deadline on entries.

 

Tournament Menu:

Should you desire to eat at your event, please request a menu and it will be sent to you. Our Coordinator will put you in contact with our food and beverage manager.

 

Confirm Numbers:

The total number of golfers and dinner guests should be provided two weeks prior to the event. A tee sheet with names and foursomes as well as a detailed list of tournaments specifics (Closest to the Pin, Long Drive, etc) must be emailed to Matt Nylen at least three days before the event.

The Clear Lake Golf Course will be responsible for all tee times and / or starting hole assignments. The accuracy of your guests list is critical to the success of your event and allows us to provide the best possible service to your guests.
